What This Printing Cost Calculator Does
It separates the four costs that actually vary and lets you set each one. Mono and colour pages are priced separately because the difference between them is enormous — colour typically costs four to six times more per page, so the share of colour pages in a document matters more than almost anything else. Paper is priced per sheet and adjusted for duplex printing. Finishing is priced per copy, since binding, stapling and covers scale with copies rather than pages.
The sheets and reams figures exist for a practical reason: running out of paper halfway through a 500-copy run is a real and avoidable problem, and knowing you need 1.2 reams before you start is worth more than knowing the cost to the cent.

The Formula: How Print Cost Is Built Up
Cost per copy is the sum of three parts. Ink cost is (colour pages × colour rate) + (mono pages × mono rate). Paper cost is sheets per copy × cost per sheet, where sheets per copy is the page count divided by two for duplex. Finishing is a flat amount per copy. Multiply the total by the number of copies for the run.
Work the default example. A 24-page document with 20% colour has 4.8 colour pages and 19.2 mono pages. At $0.15 and $0.03 respectively that is $0.72 + $0.58 = $1.30 in ink. Printed duplex, 24 pages is 12 sheets, at $0.01 each is $0.12 in paper. Add $0.50 finishing and the cost per copy is $1.92. Across 50 copies the run costs $95.80, or about $0.08 per printed page, and needs 600 sheets — 1.2 reams.
Notice the proportions. Ink is 68% of the cost per copy and paper is 6%. That ratio holds for most office printing, and it is why paper-saving measures deliver much less than people expect while colour reduction delivers much more.
Why Cartridge Yield Figures Are Not What They Seem
Every cartridge quotes a page yield, and dividing price by yield is the standard way to get a cost per page. The catch is what "a page" means. Yields are measured against a standardised test document with a defined amount of ink coverage — typically around 5% of the page — under the ISO/IEC 24711 and 24712 methods maintained through the ISO standards catalogue. A page of dense text, a table with shaded rows, or anything with a background fill uses far more than 5% coverage.
The practical consequence is that real-world cost per page routinely runs well above the figure calculated from the rated yield. If your document is text-heavy or has any block colour, treat the yield-derived rate as a floor and increase it. The most reliable method is empirical: note the page count on your printer, replace a cartridge, note it again when the next one runs out, and divide the cartridge price by the real difference.
The second complication is that colour printing consumes all colour cartridges, not just the ones matching the visible colours. A page printed with a single green graphic still draws from cyan and yellow, and most printers also lay down black. A cartridge that reaches end of life while three others are half full still forces a replacement purchase.
The Cost the Calculator Deliberately Leaves Out
Hardware is not included, and that is a decision worth explaining. A printer bought for $200 that lasts three years and prints 30,000 pages adds under a cent per page. A printer bought for $2,000 that prints 5,000 pages adds forty cents — more than the ink. If your printer is a significant purchase relative to your volume, amortise it: divide the purchase price by the total pages you expect it to produce over its life and add that to the mono rate. Electricity is also excluded, because for most office printing it is negligible against consumables. It stops being negligible for high-volume laser printing, where the fuser draws real power. Failure and reprint waste is the third exclusion and the hardest to estimate. Jams, misfeeds, and jobs printed with the wrong settings all consume consumables and produce nothing. A 3–5% allowance on the total is a reasonable planning buffer for any large run.
In-House Printing Versus a Print Shop
The crossover point is real and it moves with volume. Commercial printing has a setup cost that is spread across the run, so a print shop is expensive for ten copies and cheap for a thousand. In-house printing has no setup cost but a flat per-page cost that never improves with volume. Plot the two and they cross somewhere, usually in the low hundreds of copies for a document of any length.

Reducing the Number Without Reducing the Output
The levers in order of impact. First, cut colour pages — moving from 20% colour to 5% takes the default example from $1.92 to about $1.48 per copy, a 23% saving with no other change. Second, print duplex, which halves paper and reduces bulk for binding.
