How to Write a Resume That Actually Gets Read in 2026
Most resumes are filtered before a person ever sees them. Large employers run applications through an applicant tracking system — Workday, Greenhouse, iCIMS and similar platforms — which parses your file into structured text, matches it against the job description, and ranks it. If your layout confuses the parser or your wording misses the terms the role is built around, a genuinely strong candidate can be filtered out on formatting alone.
The good news is that the rules are mechanical, which means they are learnable. Nearly all of it comes down to structure, wording and evidence.
1. Use a layout the parser can read
Multi-column layouts, text inside tables, headers and footers containing your contact details, text boxes and graphics are the most common causes of a garbled parse. A clean single-column document with conventional section headings — Experience, Education, Skills — parses correctly almost every time. That is exactly why 9 of the 12 templates here are single-column and table-free.
2. Mirror the language of the job description
Modern systems increasingly use semantic matching, so "led a team" can register against "team leadership" — but exact terminology still carries the most weight. Pull the actual nouns and tools from the posting: the software, certifications, methodologies and job titles it names. Spell out abbreviations at least once, for example "Search Engine Optimization (SEO)", so both the long form and the acronym are captured. Tailoring for each role typically lifts your keyword match materially compared with sending one generic resume everywhere. Our free ATS resume checker shows you exactly which terms are missing.
3. Lead with verbs, and end with numbers
Replace passive phrasing like "responsible for managing the social media accounts" with an active, quantified achievement: "Grew Instagram engagement 47% in six months by rebuilding the content calendar." Start each bullet with a strong verb — Led, Built, Launched, Reduced, Scaled — and close it with a measurable outcome. Numbers give a recruiter something concrete to react to in the few seconds they spend on a first scan.
4. Keep it to the right length
One page is standard for under ten years of experience, and two pages is perfectly acceptable beyond that. An academic CV is the exception and can run much longer, since it lists publications, research and teaching in full. If you are trimming, cut old roles and generic duties before you cut measurable achievements.
5. Get the basics right
Put your name, phone, email and city in the body of the document rather than in the header or footer, where many parsers ignore them. Include a LinkedIn URL, and make sure the profile it points to is not neglected — recruiters check it. Our free LinkedIn profile optimizer scores your headline and About section against the same principles.
Resume or CV — Which One Do You Need?
In the United States and Canada, a resume is the default: a short, targeted, one to two page summary tailored to a specific role. Across the UK, Ireland, most of Europe, Australia and academia, the CV (curriculum vitae) is standard — a fuller document covering your complete history, and in academic contexts, publications, funding, conferences and teaching.
Two practical differences worth knowing: US resumes should never include a photo, date of birth or marital status, as employers actively avoid that information for anti-discrimination reasons, while a photo is still common on CVs in parts of Europe. This builder handles both — switch to CV format and the sections and layout adapt.
Why This Builder Is Free
The major resume sites typically let you build a document, then ask for a subscription at the moment you try to download it. We took the opposite approach: everything here — every template, the editor, the ATS checker, the cover letter builder and the PDF export — is free, with no account and no watermark. The site is supported by advertising, the same way our library of 632 free tools is. Job hunting is expensive and stressful enough without a paywall between you and your own resume.
