A resignation letter is not where you make your case, settle scores or explain yourself at length. It is a short administrative document that does three things: it states that you are leaving, it fixes the date you are leaving on, and it creates a written record both sides can point to later. Almost every resignation letter that causes problems does so because it tried to do something else as well.
Keep it to four short paragraphs. Say you are resigning, name the role, name your last working day, offer a handover, and thank them. Anything you feel strongly about belongs in the conversation you have with your manager, or in an exit interview — not in a document that will sit on your file after everyone who knows the context has moved on.
How much notice you owe, whether unused holiday is paid out, whether you can be asked to leave immediately, and what happens if you leave early are all set by your employment contract and by local law — and they differ substantially between countries, and in the United States between states. What the letter needs to contain

The statement
One sentence: you are resigning, from which role, at which company. The word “resign” should appear. Softer phrasing has been misread as a request rather than a notice.

The date
Your last working day, written out in full. This is the single most consequential line in the letter — it starts clocks for handover, final pay and, in some contracts, restrictive covenants.

The handover offer
One specific commitment. This is the part that protects your reference, because it is the part your manager remembers when someone rings them in two years.

The thank-you
Optional, short, and only if true. If you cannot write it sincerely, leave it out — a hollow one reads worse than none.

Asking them to confirm your leaving date and how leave and final pay will be handled costs one sentence and turns a verbal understanding into a record.
What goes wrong
- Explaining why you are leaving
You are almost never required to say, and anything you write becomes permanent. “I have decided to move on” is a complete answer. Save the detail for the conversation, where you can read the room and stop.
- Listing grievances
A resignation letter is the worst possible venue for them. It will be read by people who were not there, it cannot be softened later, and it converts a neutral exit into a contested one. If there is a serious issue, that is a separate process, usually a grievance procedure.
- Guessing the notice period
People routinely assume two weeks or a month. Your contract decides, and it may also cover accrued leave, garden leave, repayment of training costs or bonus eligibility. Read it before you fix a date.
- Resigning by message and never following up in writing
A verbal resignation can be effective, but it is your written letter with a dated last working day that stops later disagreement about when notice actually started.
- Promising more handover than you can deliver
“Happy to help with anything after I leave” sounds generous and creates an obligation with no end. Offer something bounded.

The situation. Priya Raman is a Senior Operations Analyst leaving a logistics company after four years for a bigger role elsewhere. She likes her manager, her contract requires four weeks, and she wants the reference. This is what a good, boring resignation letter looks like.

Why it works
- The reason she is leaving never appears. It does not need to, and its absence costs her nothing.
- The handover paragraph names three finite pieces of work. A reader can picture them being finished, which is the point.
- The thank-you is specific to one thing her manager actually did. A generic version of this line would have been worth deleting.
- The final paragraph asks for the leaving date and final pay in writing. That single sentence is the reason to send a letter at all rather than a verbal resignation.

Resignation Letter Questions
How long should a resignation letter be?
Four short paragraphs, well under one page. It is an administrative record, not an argument. Length is usually a sign that the letter is trying to do a job that belongs in a conversation.
Do I have to give a reason for resigning?
In most situations, no. You can simply state that you are resigning and when. If you want to say something, one neutral line — that you are taking another opportunity — is plenty. Whatever you write is permanent, so write less rather than more.
Who should the letter be addressed to?
Your direct manager, with a copy to HR if that is your employer’s process. Tell your manager in person or on a call first where you can; the letter should confirm a conversation, not break the news.
Can I resign by email?
Usually yes, and an emailed letter has the advantage of a timestamp. Check whether your contract or handbook specifies a method — a few require a signed hard copy — and keep a copy of whatever you send in a personal account, not just a work one.
What if my employer asks me to leave immediately after I resign?
Some employers do this routinely, especially for client-facing or sensitive roles. Whether they must still pay you for the notice period depends on your contract and local law, so ask for the arrangement in writing and check the terms before you agree to anything.
Should I mention a counter-offer or say I am open to staying?
Only if you genuinely are. A resignation letter that hints at negotiation muddies the record, and if the counter-offer does not come you have weakened your exit. Handle that conversation separately and verbally.
