Reference Request Email Template

A reference request is a favour, and the quality of the reference you get back depends almost entirely on how much work you saved the person giving it. The two things that make a reference weak are a referee who cannot remember specifics and a referee who felt cornered into agreeing. A good request fixes both.

Give them the deadline, the role, a reminder of what you worked on together, and an explicit, unembarrassing way to say no. That last part matters more than people expect: someone who can decline easily will also tell you honestly if they can only give a lukewarm reference, which is information you badly want before you list them.

What the letter needs to contain

    The ask, early

    By the second sentence they should know what you want and be able to decide. Burying the request under three paragraphs of pleasantries is a common and costly habit.

    The memory jog

    One concrete project or result. This is what converts “she was great” into a reference with detail in it, which is the only kind that moves a decision.

    The aim

    What the new role emphasises, so they can weight the reference toward it instead of describing you generically.

    The logistics

    Deadline, and whether it is a form, a letter or a call. People decline mostly on time, so tell them how much you are asking for.

    The exit

    An explicit, face-saving way to decline. It protects the relationship and it filters out lukewarm referees before they can hurt you.

What goes wrong

  • Asking with no notice

    A reference is unpaid work with a deadline attached. A few days is thin; a couple of weeks is courteous, and for an academic letter, considerably more.

  • Listing someone before they have agreed

    A referee contacted out of the blue by an employer is a referee who sounds hesitant, and hesitation is what the caller hears. Always ask first.

  • Making it impossible to say no

    “I know how busy you are but you are the only person who can do this” is pressure. It produces reluctant, tepid references — the exact outcome you are trying to avoid.

  • Leaving them to remember on their own

    They managed a lot of people. Without a prompt, you get warm generalities. With one specific reminder, you get an anecdote, and anecdotes are what employers remember.

  • Never following up afterwards

    Tell them what happened, whether you got it or not. It costs one message and it is the difference between a referee once and a referee for years.

Worked example — asking a former manager, two weeks out

The situation. Tom Iyer left a health-tech company eighteen months ago and is in the final stage for a product role. His old manager, Renata, is senior, busy and managed roughly twenty people. He needs her to remember the one project that maps onto the new job.

I hope you are well. I am applying for Product Manager at Kestrel Health, and I would like to ask whether you would be willing to act as a reference for me.

We worked together on the claims platform rebuild through 2023, and the piece I would point to is this: I ran the migration workstream, including the weekend cutover and the rollback plan we never had to use, and I chaired the clinical sign-off group after Marcus went on leave.

The new posting leans heavily on stakeholder management across clinical and engineering teams, which is most of what that year was. If that is the angle you would be most comfortable speaking to, it is also the one that would help most.

It would be a short online form and possibly a ten-minute call, and I would need it by Friday 6 March.

Why it works

Reference Request Questions

How many referees should I have lined up?

Two or three is the usual expectation, and it is worth having one more than you need in reserve. Employers vary in how many they ask for and when in the process they ask.

How much notice should I give a referee?

For a standard professional reference, one to two weeks is reasonable. For an academic letter of recommendation, several weeks — those are long documents written around teaching loads.

Should I offer to draft it for them?

For a short professional reference, no; offering to write your own can read awkwardly. For a long academic or formal letter, some referees will ask you for notes or a draft, and providing them when asked is normal and welcome. Follow their lead.

What if the person I want left the company?

That is usually fine, and often better — a former manager can speak freely. Reach them personally rather than through a company address, and be clear about which employer and period you are asking them to speak to.

Can I ask someone who might give a mixed reference?

You can, but ask them directly whether they can give a strong one. Most people answer that question honestly, and a clear “not really” from a referee is far cheaper than finding out afterwards.

Does the employer see this email?

No. This is your private request to the referee. The employer contacts them separately, usually with their own form or call.
