Paragraph one: certification area and level

Name the position, the school, and your certification area and grade band. Districts run multiple vacancies at once and the letter is often read next to the application form, so being specific about which vacancy you mean prevents your file being read against the wrong one.

Paragraph two: one thing students achieved

Pick a measurable student outcome or a programme you built, and give the cohort size. Panels are looking for evidence that your practice changes results rather than a description of your teaching style, which they will ask about in person anyway.

Paragraph three: why this employer

This is where most letters fail. "I admire your commitment to excellence" could be sent to anyone. Name something real — a product, a recent announcement, how the team works, a programme the school runs or a community it serves — and connect it to your own experience. If you genuinely cannot find anything specific to say, that is worth noticing before you apply.

What this field is judging behind the words

Districts hire paraprofessionals throughout the year and often at short notice, because a single pupil placement can create a post overnight. The qualification requirement is verified before interview, whether met by college credit, a degree or an assessment. Interviews cover confidentiality, following teacher direction, personal care duties and how you respond to challenging behaviour.

Mistakes that cost paraprofessional candidates

• Not stating how you meet the district qualification requirement, which is checked before interview
• Describing yourself as running the classroom instead of supporting under teacher direction
• Leaving out personal care or behaviour support when the vacancy exists precisely because it is needed

Those are resume mistakes, but they apply to the letter for the same reason: both documents are read by someone deciding quickly whether you understand the job.

Federal funding rules require paraprofessionals in certain programmes to meet a qualification standard, typically two years of college study, an associate degree or a formal assessment such as the ParaPro. Behaviour technician certification is separate and awarded nationally. Specific requirements vary by state and district.
